The Personal Executive Assistant supports Kassi and protects the structure and systems of the business so she can focus on clients, connecting, and creativity. You manage her calendar, clients, network, and planned events.

  • Ability to receive and to accurately implement verbal communication (as opposed to written instructions ~ Kassi sends most info over Voxer voice notes)
  • A sense of when the business pace is picking up, meeting that speed, and initiating ways you can provide more support during these times 
  • Excellent writing skills for warm communication and client care that represents our brand voice

  • Strong problem-prevention skills (especially with calendaring and streamlining processes)
  • Accurate assessment of the urgency of a project or request
  • A super positive, can-do attitude ~ and recognizes and communicates to Kassi if more hands or hires are needed
  • A sense of important moments in the business and when it’s time to go above and beyond (healthy boundaries are respected, but rigidity and “punching a time clock” is not the vibe here).
  • Analytical skills  to determine when to apply an existing protocol, and when there is a new factor that would require communicating with the founder first

Typical Tasks Include:

  • Maintaining Kassi’s appointments/calendar flawlessly by planning and scheduling all personal and professional meetings, sessions, retreats, travel, and personal appointments, and sometimes changing all those at a moment’s notice
  • Handling email management and organization in the office inbox – communicating with clients, partnerships, and the founder, flagging important emails, etc. (Managing multiple email addresses.)
  • Managing and setting up emails for group programs and Kassi’s list via the larger email system
  • Repurposing email / social media content
  • Posting on social media and upkeeping IG stories daily
  • Scheduling podcast interviews with guests for Big Energy with Kassi Underwood
  • Coordinating Kassi’s appearances on podcasts, at events, and more
  • Retreat planning
  • Running client care by responding to client emails, inbox questions, partnership reachouts / opportunities and more ~ in the brand vibe and voice
  • Working with Kassi and/or other team members to create systems, plan launches, and run programs
  • Offering support to other team members with project assistance/coordination, launches, and organization.
  • Retreat assistance in-person, usually twice a year and often at international locations (your travel is covered)

The position starts at 12-15 hours per week.

Compensation: Competitive pay depending on experience and performance track record


  • Bachelor’s Degree preferred but not mandatory
  • 3-5 years experience as an Executive Assistant, Operations Manager, or in a fast-paced Virtual Assistant role.
  • iPhone with iPhotos, Voxer, Gmail, and social media apps
  • Experience working with managers and teams located remotely preferred.
  • Fluency in Google Drive (and keeping it organized).
  • Laptop with space + Microsoft Office
  • Impeccable organizational skills for all things logistical, scheduling, and email related.
  • Availability during regular business hours in ET, Monday through Friday 9:30 a.m. – 6 p.m. EST and sometimes on the weekend/after hours when needed.
  • Reliable high-speed internet access.
  • The flexibility to travel or commute to Kassi’s residence in NYC or to a retreat if needed (though this is a remote position and your home base can be anywhere)
