Operations Manager

Job Description:

We are currently seeking a full time, NYC-based Operational Badass! This person will work directly with Kassi Underwood. This role is pivotal to both creating and implementing all the behind-the-scenes infrastructure that allows us to provide excellent client experiences (i.e. online business management, launch schedules, retreats, online events, course offerings, etc) AND all the day-to-day management of our business (i.e. administrator of the company email system, details maintenance, etc.) You will be a full-time employee.

Kassi’s Mission:

Kassi Underwood is a spiritual teacher, political organizer, podcast host, author, comedy dabbler… and mom! She empowers women to be fully self-expressed in every area of life through teaching, spiritual guidance, community, and live events.   • You live in NYC – and while you work mostly from home – you’ll have days each week where you’re needed at the Brooklyn office to handle various administrative tasks and work other in-person events throughout the year.
  • You are someone who LOVES details, and project management is your jam!
  • You’re a big-picture thinker who sees projects through to completion – automatically generating the tasks needed to pull off the end goal.

  • Nothing drops on your watch. You’re naturally a tracker and love to utilize project management software (Asana) and calendars to make sure it all gets done on time.
  • You’re a techie at heart! Meaning you’re enthusiastic about being the admin of our Google suite, billing, websites, audio and video files, Zoom conferencing, etc.
  • Comfortable with people management such as delivering tasks and managing deadlines for the company’s EA.
  • People closest to you would say you’re grounded and positive by nature – the kind of person everyone wants on their team.
  • You can handle strong opinions, and juggle shifting priorities. You’re great at generating solutions while contributing your opinions and insights along the way.
  • You’re excited to co-work/brainstorm regularly with CEO on vision and creative aspects to the launches/events/projects.
  • Confidently manage your deadlines and the deadlines of others and to remove bottlenecks that naturally occur in a business cycle.
  • You know how to manage your own time, take initiative, and hold yourself accountable for getting your stuff done while being open to feedback and suggestions.
  • You are happy spending the vast majority of your workday at the computer.
  • You love having your hands in different areas of the business and can easily flow between them. For example, one day could have you creating a launch schedule, prepping logistics for a live event, running tech on a group teaching call with Kassi, and getting our emails scheduled in Active Campaign. You end the day feeling like a boss for getting it all done.
  • You’re a super-fast learner quick to figure things out.

Likely Duties


  • Manage weekly team meeting and deliverable deadlines for all team members
  • Take lead on all logistic support for virtual or in-person events
  • Keep all online files and folder organized for course and business needs
  • Schedule co-working time with Kassi to complete ad-hoc and routine business deliverables
  • Remove operational bottlenecks for all teammates during launches, courses, and ad-hoc projects
  • Routine check-in with teammates and Kassi on weekly assigned deliverables
  • Handles quality control ~ makes sure everything meets standards before running past Kassi


  • Manages up
  • Create and execute company’s monthly strategic plan with Kassi to achieve financial targets
  • Keeps a 360 view on the business to maximize potential of any given moment, assigning tasks to other team members, and ensuring it gets done

Course Management:

  • Oversee course and mastermind communications – organize/schedule/send out at appropriate dates.
  • Download and post all course recordings.
  • Identify content that needs to be created and organize it getting done and uploaded to Kajabi
  • Dispatch communications to students and clients across platforms re: all deadlines, homework, and logistics


  • Scheduling and managing launch and course communications in CRM (works with EA to create and schedule all emails to list, social media schedule, events, and any other reach outs)
  • Setting up ad-hoc follow-up communications in our CRM system and distributing them to the appropriate lists
  • Owner of team meeting agenda and sending it out to all parties prior to meeting
  • Monitoring team Voxer and acting on request or needs of teammates


  • Serve as main Zoom host on course calls, including music, spotlighting, and breakout rooms
  • Act as the primary admin for all G-Suite & Google accounts, all phone and video conferencing technology used for courses, and our CRM system
  • Support website maintenance – oversees and management updates/fix website issues with web developer on Word Press. Open to learning the basics of wordpress for emergency issues
  • Main admin for our Google suite account and file organization
  • Main admin for our Active Campaign (our CRM)
  • Work with Kassi, tech person, and designer to update course enrollment pages, opt-in pages, live event registration, and confirmation pages as needed (all built using Divi Theme by Elegant Themes)
  • Understand basic/open to learn Kajabi basics (includes updating upcoming call schedules, creating and adding add to calendar buttons, uploading replays as needed, etc)
  • Support with tech troubleshooting as needed


  • Bachelor’s degree required, master’s degree preferred
  • Minimum 3-5 years experience in a fast-paced operational role
  • Experience managing teams located remotely preferred
  • iPhone with iPhotos, Voxer, Gmail, and social media apps
  • Fluency in Google Drive (and keeping it organized)
  • Laptop with space + Microsoft Office
  • You live in NYC
  • Availability in NYC during regular business hours in ET, Monday through Friday 10 a.m. – 6 p.m. ET and sometimes after hours/weekends when needed
  • Reliable high-speed internet access

Pay and Additional Benefits:

This is a full-time position with a base salary range of $70,000-$90,000 proportional to experience. Business hours are Monday through Friday 10 a.m. – 6 p.m. ET, with occasional nights or weekends during launches or for events.
